How to Submit a Background Check Batch

With a single Excel (.xlsx) file, you can efficiently perform up to 1,000 Background Checks simultaneously. These can be done using the default types—Person, Vehicle, and Company—or with Custom Types. Simply select the country and the type of verification, upload the file with the required information, and get results quickly. Additionally, you have the option to enable Continuous Checks for ongoing monitoring.

How to Create a Batch

To create a Batch, follow these steps:

  1. Access the Platform: Log in to the Truora’s platform.
  2. Select Background Checks: Once on the product selection screen, choose the Background Checks product.

  3. Navigate to Batch Upload: In the Background Checks Dashboard, go to the sidebar and select the Batch Upload feature.
  4. Configure the Batch:
    • Choose the country where you want to run the Batch.
    • Select the type of check you want to perform. You can use the default types (Person, Vehicle, or Company) or a previously created Custom Type.
  5. Enable Continuous Checks (Optional): You will see a checkbox that allows you to schedule continuous monitoring. Be cautious when enabling this feature, as it will periodically rerun all Checks in the Batch, leading to recurring charges.
  6. Click Continue: Once you have selected the country, check type, and continuous monitoring preference, click the Continue button.

  7. Fill in the Excel File:
    • Prepare an Excel (.xlsx) file, ensuring each input required for the selected type is placed in a separate column.
    • Below is an example for Colombia using the default type Person:

  8. Upload the File:
    • In the Batch Upload view, upload the completed Excel (.xlsx) file.
    • Assign each column to its corresponding input field.
  9. Confirm Authorization: Check the box confirming that you have permission to process personal information. If you do not have authorization, you will not be able to proceed with the Checks.
  10. Click Continue: Once everything is set up, click the Continue button to submit the Batch.

Note:

Batch Results

To view the results go to the left menu, simply locate the Batch Upload History option. From here, you can easily track the progress of your Background Check Batch and view the results.

NOTE: This type of search may take up to 2 hours to complete. It is recommended to check back after this time to ensure the accuracy of the results.

Batch progress and/or Individual details:

In the Batch Upload History view, locate your Batch and click in the VIEW MORE icon to open the Batch Upload Details.

  1. Batch progress: In Batch Upload Details a flake-shaped notification displays the progress percentage. Individually, each item has a visual indicator:
    • A clock icon 🕒 when in progress.
    • A checkmark icon ✔️ when successfully completed.
    • An exclamation mark ❗ when completed with an error.

      Additionally, in this view, you can download a CSV file containing the results of the entire Batch for further analysis.

  2. Individual details:
    • In Batch Upload Details, you can also access individual results. To do so, navigate to the list of completed queries and select the specific one you want to view.
    • Once inside the individual details, you will have the option to download a PDF of that specific query for further review.

Automated Result Retrieval

The results are reported using webhooks that are configured from the dashboard. The information in the webhook contains the results of the Checks, and you can receive different events. Additionally, you can create labels to filter different rules depending on the values that check variables may take. For example, you may want to filter Checks for only types ‘person’ or ‘vehicle’.
